Job Description
The Division of Mental Health and Addiction Services (MHASD) develops and manages systems of care for adults, adolescents and children experiencing mental disorders or addictions including alcohol, drugs and gambling. MHASD is responsible for monitoring and improving the availability, accessibility, and quality of its treatment services and prevention services for youth and families.
This position is an important public face for MHASD and represents the division internally and externally. A high degree of professionalism is required.
This position's primary focus are:
- Provide high level, confidential administrative and secretarial support for the MHASD Director and Deputy Director as well as others on the MHASD management team; manage the daily schedule for MHASD Director and Deputy/Assistant Director; schedule and prioritize appointments, events and meetings; monitor, prioritize and triage emails, support regularly occurring and ad hoc meetings including scheduling, agenda, minutes and any other follow up; track correspondence and manage email as requested.
- Create correspondence for Director and Deputy Director from notes or drafts or other direction; independently respond to routine correspondence and urgent requests, back up travel and training, human resources requests; develop and maintain filing systems; maintain confidential files and materials.
- Assist with materials for budget requests, modifications, resolutions, board briefings or other presentation; process travel and training requests; act as telecom liaison and liaison with facilities; order and maintain office supplies and business cards; copying; faxing; liaison for machine maintenance; monitor news media daily for county stories.
- Demonstrate strong multi-tasking and organization skills who is able to change gears to address management needs; prioritize work assignments; take direction for a project and run with it; demonstrate both strong oral and written communication skills; and work with a variety of personalized and work styles.
